Sending Email notifications

Written by Arthur Ashdown

Email notifications is a convenient way to notify the client about order status. This method has many advantages. The first one is that this service is free of charge. Second, you can transmit more information than by SMS. In addition, there are many customers now having modern smartphones to read emails directly from the palm of PDA in the same way as an SMS.

Adding the client's email in an import file

Modify your import file by adding another column heading “contactEmail” for the customer email address. Fill in this field for each client with the email addresses to which the email notification is to be sent. The record format is [email protected], Latin letters, the @ sign, digital symbols and hyphen are acceptable.

Adding the client's email in the order form

For sending email notifications, the recipient email address should be entered into the Contact E-mail field on the order form:

Several e-mail addresses can be entered, separated by semicolon (;).

Notification settings in the system

You should fill in the notification templates in MaxOptra settings: Settings > SMS/Email messages (Notification templates).

For example, you want the client to receive email half an hour before the arrival of the driver. You should do the following steps:

  • Check the event N minutes before arrival to the customer, specify the parameters for 30 minutes and text message. Text, as well as the variables in the square brackets, can be removed and added (can be edited). Filling in the email notification templates is the same as for Sending SMS notifications.

  • Tick off the type of messages (email).

Note If both the phone number and email address are indicated in the customer's order form, then that customer will receive both notifications.
