Glossary

This Glossary contains descriptions for all the major terms used within the manual. Termsare listedin the Glossary alphabetically.

Term

Description

Account

Account in MaxOptrameans customer account. One or several dispatchers can share the same account without interfering with each other's work. For more details, see System Configuration.

Account Administrator

One of the user roles in MaxOptra, which includes managing account settings and creating new objects.

Additional attributes

Additional information of an order required by a specific customer. For more details, see Order parameters.

Advanced settings

Advanced settings include additional settings that may be required for efficient operation, such as: vehicle requrements, speed zones, SMS/Email, widget, POD, driver manifest etc.

API

Application programming interface used to integrate MaxOptrawith other standalone or web applications. In MaxOptraREST API is used. For details, see REST API.

Area of control

Same as Depot and DC.

Availability hours

Days of week and driver's work/break time for each day. For details, see Driver parameters.

Barcode scanning

In MaxOptrabarcodes can be scanned to check the order items delivery (see Order Items ). There is also a separate Scanning screen in MaxOptra, where you can scan or type in the barcode and view all the available information about this order (see Barcodes scanning).

Breaks

In MaxOptrayou can choose between fixed and dynamic break type. For more details, see Manage your driving times.

Capacity

Capacity units define how MaxOptrameasures vehicle capacity. It can be weight, volume, number of pallets, number of boxes or any other capacity measure. For more details, see Manage your capacity units.

Clone

A copy of order/driver/vehicle created in the system. It can further be updated and saved as a brand new order/driver/vehicle. For more details, see Cloning orders , Cloning Drivers and Cloning Vehicles.

Consignment

A group of two orders of different types (delivery and collection) linked by one reference number.For more details, see Pickup & Delivery.

csv

Stands for "comma separated value" - a simple file format, used to store tabular data, such as a spreadsheet or database. In MaxOptrait is used for creating import files. For more details, see Order Import File Guide.

Customer location

Window storing information about location belonging to one of the customers of a transportation company, which is the destination point for delivery orders.See around the document:Creating and importing customer locations, Customer location parameters

Customer service

One of the user roles in MaxOptra, in which only Track&Trace screen and reports printing are available.

Daily driving limit

How many hours per day a driver can drive the vehicle. For more details, see Distribution centre parameters and Driver parameters.

Dispatcher

One of the user roles in MaxOptra, which includes planning and tracking the orders.

Distribution centre

Window storing information about warehouse from where the orders are delivered to different customer locations.See around the document: Creating distribution centres, Distribution centre parameters.

Driver

Window storing information about driver who has been hired by a transportation company. Contains reference to corresponding vehicle.See around the document:Creating drivers , Driver parameters.

Driver manifest

Cargo document listing job details of the current working day/period for each individual driver. In MaxOptrathe driver manifest template can be customised to meet the business requirements. For more details, see Driver Manifest Template.

Driving time correction factor

Driving time correction factor is used as an index for driving times of a specific vehicle to make the schedule look more realistic. For details, see Distribution centre parameters, Vehicle parameters.

Drop

Delivery of order(s) to the customer location

Duty time limit

Duration of the working day of a driver. It limits the total working hours of a driver during the day, which includes driving, loading and unloading, waiting, etc.

ETA

Stands for Estimated Time of Arrival. It is the time when the vehicle is expected to arrive at a certain point of the route. Parameter used for delivery/pickup time calculation and sending notifications. For more details, see ETA in MaxOptra.

External ID

Unique identifier of a driver/vehicle in the client's CRM. For details, see Vehicle parameters and Driver parameters.

General settings

General settings include those which are mandatory for every account, such as: distribution centres, vehicles, drivers, customer locations, users, account setings etc.

Global ID

Means customer location reference number in MaxOptra. It is required for accurate identification of customer locations imported from external systems. It means that using the global ID, MaxOptramatches the customer location in the imported order with the customer location that already exists in the system. Group of territories

Territories can be combined in groups for easier operation of drivers and vehicles.

Import

Import is one of the ways of transmitting orders to MaxOptra(the other two are: creating orders manually or by API). Orders are imported to MaxOptra using a csv-file, where data is organised according to specific format. For more details, see Order Import File Guide and Order Import File. Column Names and Requirements.

Incremental planning

A MaxOptratool that helps to automatically schedule additional orders after a days' routes have been scheduled and locked. For details, see Incremental Planning.

Linked order

A cargo, which needs to be picked at one location and then delivered to another location within one run. To do it in MaxOptra, two orders need to be related - one for pickup, and one for delivery, and linked together in one consignment. As a result, both these orders will be scheduled in one run. For more details, see Pickup & Delivery.

Mobile client

MaxOptramobile application for drivers. It is available both for Android and for iOS. For more details, see MaxOptra Mobile Client.

Multi-day optimisation

This is a MaxOptratool that helps to automatically allocate the most efficient date of delivery within 5-day horizon. For details, see Multi-day Optimisation.

Notification

SMS/Email messages automatically sent to clients to inform them about the progress of delivery/pickup. For more details, see SMS/Email messages (Notification templates) and Managing Individual Customer Notification Settings.

Operation time windows

Time range when order can be delivered/collected at the customer location.

Order

Order in MaxOptrais the basic entity of cargo delivery/pickup. One order is created for one delivery/pickup. For more details, see Managing orders. Note Orders in MaxOptracan be of two types: delivery and collection. The "delivery" order is loaded at the start point (DC, other location) and taken to the customer location for unloading. The "collection" type of order is loaded (collected) at the customer location and taken to the end point (DC, other location) for unloading.Orders in MaxOptraare represented in special forms, providing information about the client's choice of transportation company service: start point, end point, operation time, contact information, capacity, cost etc. For more details, seeCreating orders manually, Order Import Process, Order parameters.

Order (reference) number

Number assigned to order by the customer in their CRM or automatically by the system.

Order item

Sub-components of orders, goods that need to be specified and checked within an order. For more details, see Order Items.

Order status

Status of order completion, which can be changed either from the driver app or from the Track&Trace screen. For more details, see Changing orders statuses on Track&Trace screen and Order statuses.

PDA

Also known as Personal Digital Assistant, is a handheld mobile device used as personal information manager. In MaxOptrait is used by drivers to manage their job.

Performer

One of the user roles in MaxOptraintended for drivers (login and password should be provided).

Pickup=collection

Collection of order(s) at the customer location for further delivery to the destination point.

POD

Stands for Proof of Delivery. It is an electronic signature a driver takes before job is completed. Customers put their signatures on the Driver App screen. POD can be printed and/or emailed, if necessary. For more details, see Proof of Delivery (POD).

Priority

Order importance category. It can be normal, medium and high.

Report

Data aggregated and displayed according to specific parameters. In MaxOptrathere are standard reports and customizable reports. For details, see Reports and analytics.

Route

Route is the way or course a vehicle takes to get from a starting point to a destination point. It is one of the basic notions in MaxOptra, which influences the whole scheduling process. In MaxOptravehicles' routes are displayed on the Planning screen with or without geo-routing, and evaluated using KPI values: mileage, time and cost. Such settings as Territories or Speed zones can also be considered during route planning.

Run

Run in MaxOptrais the movement of a vehicle along the specified route. In MaxOptra a run starts and ends at the pre-defined start/end points. Depending upon the settings, a driver can make one or multiple runs during the working day/period. For more detials, see Start and End of Day Locations and Run duration limit.

Run duration limit

This parameter shows the maximum number of hours a run can be.

Separator (, ;)

Separator is used in csv import files to separate the data from each other. For more details, see Import / Export and Order Import File Guide.

Speed zone

Zones, for which different speed correction factors are specified. It will allow getting more accurate scheduling results and more realistic plans. For more details, see Speed Zones.

Tag

In Maxoptra it is a label attached to the SMS/Email messages of notifications for automatic insertion of some meaningful information. For example, an "Arrival date" tag, if inserted in the message, would automatically show the actual arrival date of the order. For more details, see SMS/Email messages (Notification templates).

Terrtories

Land lots outlined on the map to restrict driver entrance to some zones. This feature helps the logistics companies to optimise the delivery process. For details, see Territories / Groups of territories.

Track&Trace

This is a MaxOptratool for tracking the vehicle movement and tracing the order performance. For more details, see Track & Trace.

UI

User interface, designed for easy and efficient interaction of users with MaxOptra.

User

Window storing information about someone who can log on to the System under their assigned login-password. Contact information and role in the system is assigned to each user. See around the document:Creating users, User parameters and System Roles.

User role

User roles in MaxOptradefine what the current user can do in the system. Depending on selected role different interface elements are displayed to the user. Multiple roles can be assigned to the same user. Such users can switch between roles during the session. For more details, see User parameters and System Roles.

Vehicle

A special form storing information about vehicles of different types owned or used by a transportation company for delivery orders. Contains references to corresponding distribution centre, referenced by driver.See around the document:Creating vehicles, Vehicle parameters.

Vehicle actions

Actions listed in the vehicles' context menu on the Planning screen. For more details, see Vehicles Context Menu.

Vehicle requirements

Different vehicles can to be equipped in special way to be able to carry goods requiring specific transportation and loading/unloading conditions. For details, see Vehicle requirements.

Vehicle type

When scheduling a route, various types of vehicles may be required. Some vehicles may have some driving restrictions, which should be considered during scheduling. For details, see Vehicle types.

Widget

In MaxOptrait is a tool that gives your customers the ability to track order delivery on the map from your company's website. Besides, MaxOptrawidget can be used to rate deliveries and send feedbacks. For details, see Website Widget and Delivery Rating Service.
