Customizable Reports in Excel

The current Excel reporting functionality will help you to extract as much useful data from your MaxOptra system as possible. Our new customizable Excel report tool allows you to export data from MaxOptra and organize it in an effective way based on a range of specific parameters (such as date or time period). You can then use this data to create the tables and reports required for your business, linking them to the new customizable report functionality. Once created, the reports and tables will be automatically updated giving you the information you need in an easy-to-use format, displayed in the way that you need.

Note This report is available for downloading in Excel 2016 by default. If you Excel version is lower than 2016, you have to upgrade it.

How to download data from MaxOptra

To download data for reports from MaxOptra, go to Reports>Aggregated routes report and click the big blue Download the template button:

Specify the file name, click the Save button to save file to your computer. Open data file and select the Confirm tab:

Specify the data to update the report:

  • Username

  • Password

  • Period you want to download data for (Date from ... Date to ...)

Click the Get data button.

When downloading report file for the first time, Excel will ask you to select the level of confidentiality. There are two ways you can handle it:

  • Tick the "Ignore Privacy Levels checks..." and click Save

OR

  • Specify the "Public" confidentiality level and click Save.

Report structure

Multipurpose report template involves the following reports:

  • All routes - This spreadsheet shows consolidated planned and actual data for all routes.

  • All planned orders - This spreadsheet shows planned and actual data with breakdown by orders. Note In this report you may sometimes see that the "Operation time windows start/end" columns may stay blank. It means that the particular order was not scheduled within the time windows set for the order.

  • Vehicle utilisation - The report shows the optimal way the vehicle was utilized throughout a run. The values are shown by the job types performed (drop/collection) and by capacity units.

  • Stops - The report consolidates data on the types of planned jobs. The data is broken down by dates, distribution centres, vehicles, and runs.

  • Execution deviations - The report presents the ratio of planned and actual order indicators.

  • Driver shift utilisation - The report contains the resources utilization indicators with breakdown by drivers and vehicles. The data is broken down by dates and distribution centres. The report contains the indicators on drivers' productivity for the planned jobs.

  • On plan arrival - The report contains data of being on schedule for the jobs. The data is broken down by date, distribution centre, customer (customer location). For the Delayed orders, Average order delay, Non-completed orders, and On time orders indicators, the report considers only the orders with received actual GPS data on arrival to the location.

  • Costs - The report contains schedule efficiency financial indicators. The data is broken down by dates and distribution centres.
